Effective Communication

The IntenCheck approach to effective communication

The text analysis technology that we have developed works as a ‘bridge’ between getting from where you are to where you want to go. It is designed to lead you, step by step, to use the factors of effective communication and help you get the results you want.

step1

First step – The goal for the communication process

The goal is always to write texts that deliver your message as clear and precise as possible, using language tailored to match the communication style of the person you are writing to. Your texts should also reflect the emotions and attitudes of your choice. By doing this, you make sure that you are easily understood and that your message is received by the other person in the way you intended it, making it more likely to return the response you were after.

step2

Second step – Choosing the communication style

Our text analysis software quickly detects the unique communication style of the person you are writing to, after a simple analysis of his or her texts, whether they are emails, articles, transcripts, etc.

In case you do not have enough information about the other person’s communication preferences, you can choose to deliver your message using the system’s default universal norm, which fits quite well for the majority of people. You can also choose to use specific templates of language which are most commonly used in specific contexts (business, psychology, science, communicating with children, etc.).

step3

Third step – Adopting the communication style and receiving feedback about your own message

The third step deals with the text that you are writing. This is when our text analysis tool informs you about the necessary adjustments you need to make, in order to deliver your message using the most effective language possible.

After you have finished writing your message, our software will help you adjust it in order to adopt the communication style chosen earlier. It will also offer you more feedback regarding the emotions and attitudes that you are communicating, and it will let you know whether your message comes across as sincere or not. When you are happy with the results you are ready to deliver your message.

The importance of matching communication styles

It can be especially important when using only written communication to match the communication style of the person you are writing to. When writing for a larger number of readers, it’s very helpful to use either a universal language norm or  language templates provided for specific fields (business, psychology, science, etc).

So, why is it important to match communication styles?

For example, when people who think predominantly in pictures read visual words, they understand you more quickly, because they don’t need to take any extra moments to “translate” what you are saying into pictures. You’ve essentially done the “translating” for them.

By writing in someone’s preferred communication style you can also connect better with that person because you are essentially communicating that you are more like them and you understand them. The fact that all this happens on the subconscious level makes it all the more effective.
